Job Summary

The Order Processing Specialist is responsible for managing the complete order lifecycle, ensuring accurate and timely processing of sales and purchase orders. This role requires close coordination with internal teams such as Sales, Logistics, and Finance, as well as external stakeholders including customers and suppliers to ensure smooth and efficient operations.

 

Experience Required

2–3 years of experience in order processing, procurement, or similar roles

Experience working with ERP systems and data entry

Qualifications

Bachelor’s degree (preferably B.Com) or in Business Administration, Supply Chain, Logistics, or a related field

Relevant certifications in supply chain or order management will be an added advantage

Experience Requirements:

Key Responsibilities

Receive, review, and accurately process all types of orders.

Coordinate with Sales, Logistics, and Finance teams for timely and compliant order processing.

Ensure correct payment terms (Open Credit / LC / PDC / Advance / SCF) as per approved guidelines.

Manage order amendments, cancellations, and resolve discrepancies or delays promptly.

Ensure all required documents and instructions are properly included and updated in the system.

Verify customer and supplier documents such as trade licenses, VAT certificates, and registrations.

Issue purchase orders within defined timelines.

Maintain accurate records in the ERP system, including supplier creation and order tracking.

Communicate effectively with internal and external stakeholders to ensure smooth execution.

Review and clear long-pending or inactive orders periodically.

Skills & Competencies

Strong attention to detail and accuracy

Knowledge of procurement and order processing workflows

Familiarity with Incoterms, shipping terms, and international payment methods

Basic understanding of VAT and taxation

Good communication and interpersonal skills

Strong organizational and multitasking abilities

Problem-solving mindset with a proactive approach

High level of accountability and work ethic
